This is the main data entry form (click to enlarge.) Before entering data, be sure to open the Club’s records form and modify the quarterly dues amount.

The main part of this form is the the member's information. Data entry is fairly straight forward, with an ID number (optional,) full name, address, phone number, email, etc. See editing data!
Note: The Club Start date must be correct for accurate attendance information...
Everything is based on quarterly dues. If your club use something other than quarterly it will be necessary for you to calculate the quarterly amount and enter that number. There are three due fields available for different amounts. If for some reason you want a zeroed dues amount, enter .0001. Over many years this amount may start affecting reports but on a year to year basis it will not.
Changing the club's dues amount from the Club Record form mid-year will change all unpaid dues for that year. If this action is not what you want, your only recourse is to manually revert those outstanding dues. So it is best to change the rate at the beginning of a new year, but before adding dues for that new year.
At the end of the year, but before the new year, click the "Add Next Year's Dues" button from any member's record. This will then populate the upcoming dues table. Note: If a member has prepaid the coming year’s dues already, that member’s record will not be reassigned the new year's dues...
| Upper left of the main form is the option to view active members. Clicking another option will update the screen to show the appropriate records. |
|
To the right of the (above shown) active/all/inactive option is a general
message box that shows helpful information and data entry errors.

To the right of message is the member's approximate 1 year meeting attendance
(in percent) and that member's account balance (if applied.)
| The right three boxes are quick glances at the member's project history, the
office held and committees assigned. All three have their own data entry forms, but only the Office's form will open automatically if clicked. Clicking projects and committees will not open the form, but rather allow you to scroll down the records. Note: All forms can be opened from the "Forms" menu at the top... |

The lower part of the main form shows the member's upcoming dues and dues history. And while you can clear upcoming dues and revert history, this is not the proper place to do so! Using the receiving dues form will properly update the member's history, the checking account and other linked information.
